Torquay Athletic RFC (“the Club”, “we”, “us”, “our”) is committed to protecting the privacy of everyone who uses our website, gets in touch with us, or takes part in Club activities. This policy explains what personal data we collect through this website, why we collect it, how we use it, and the rights you have over it.

Who We Are

This website (new.tarfc.co.uk) is run by Torquay Athletic RFC, based at The Recreation Ground, Rathmore Road, Torquay, Devon, TQ2 6NX. For any privacy-related question, you can contact our Hon Secretary at secretary@tarfc.co.uk.

What Personal Data We Collect and Why

We collect personal data when you voluntarily submit it to us through one of the enquiry forms on this website. Depending on the form, this may include your name, email address, phone number, and any details you choose to include in your message. The forms on this site are:

  • Contact Enquiry — general questions sent to the Club.
  • Become a Sponsor Enquiry — used by businesses interested in sponsoring the Club.
  • Venue Hire Enquiry — used by anyone enquiring about hiring our clubhouse or grounds.
  • Age-group enquiry forms (Under 7s to Under 16s) — used by parents and guardians enquiring about a child joining Junior rugby. See “Children’s Data” below.

We only use the information you provide to respond to your enquiry and to administer the request you’ve made (for example, arranging a venue viewing or passing a sponsorship enquiry to the relevant committee member). We do not use enquiry data for marketing, and we do not sell or rent your data to anyone.

Our legal basis for processing this data is your consent, given when you voluntarily submit a form, and our legitimate interest in responding to enquiries about the Club.

Separately, if you register as a playing or non-playing member of the Club, that registration is handled directly through the Rugby Football Union’s own membership system (accessed via our Join Us page), not through this website. The RFU is the data controller for that information, and its own privacy policy applies — see englandrugby.com. Our Kit Shop link takes you to an independent partner store (Tacklebag), which is also a separate data controller for any order you place there.

Children’s Data

Our age-group enquiry forms are intended to be completed by a parent or guardian on behalf of a child, and typically include the child’s first name and age alongside the parent or guardian’s own contact details. We use this information only to respond to the enquiry and, where the family wishes to proceed, to put them in touch with the relevant Junior coordinator. We do not use children’s data for any other purpose, and we take extra care with it in line with our Safeguarding Policy — see our Safeguarding page for details of our Club Safeguarding Lead.

How Enquiry Data Is Stored

Our enquiry forms are built using WPForms. On the free (“Lite”) version of this plugin that we use, form submissions are not stored in a database on our website — each submission is simply emailed once to the relevant Club officer’s inbox (for example, our Hon Secretary or Clubhouse contact) and is not otherwise retained on the site itself. Those emails are subject to the normal retention and security practices of the officer’s own email account.

Cookies

Like most websites, ours uses a small number of cookies. We show a cookie consent banner when you first visit so you can choose which non-essential cookies to allow. The cookies our site may use include:

  • Essential/functional cookies — needed for the site and its caching system to work correctly. These cannot be switched off.
  • Third-party embed cookies — if a page includes an embedded Facebook, Instagram, X (Twitter), TikTok or YouTube feed, that platform may set its own cookies when the feed loads. These are controlled by the relevant platform, not by us — see their own privacy policies for details.

You can change or withdraw your cookie consent at any time by clicking the small round cookie-preferences icon shown in the bottom corner of every page on this site, or by adjusting your browser’s cookie settings directly.

Embedded Content From Other Websites

Pages on this site may include embedded content from social media platforms (for example, Facebook, Instagram, X/Twitter, TikTok and YouTube feeds showing our latest posts). Embedded content from other websites behaves in exactly the same way as if you had visited that other website directly. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction if you have an account and are logged in to that website.

Comments and Media

If we publish blog-style news posts with comments enabled, any data you submit in a comment (along with your IP address and browser user agent, to help detect spam) may be retained indefinitely so we can recognise follow-up comments automatically. If you upload an image to the site, please avoid uploading images that include embedded location (EXIF GPS) data, as visitors to the site could download and extract that data.

Who We Share Your Data With

We do not share the personal data you submit through our enquiry forms with any third party, other than the service providers who help us run this website (our web hosting provider, and our email delivery provider, which is used solely to relay form notification emails to the correct Club officer). We may also disclose personal data where we are required to do so by law.

How Long We Keep Your Data

As explained above, enquiry form submissions are not stored on our website — they exist only as an email sent to the relevant Club officer. We ask officers to keep enquiry emails only for as long as reasonably needed to deal with the enquiry, and to delete them once the matter is resolved, save where we need to keep a record for legitimate administrative or legal reasons.

Your Rights

Under UK data protection law, you have the right to ask us for a copy of the personal data we hold about you, to ask us to correct or delete it, to restrict or object to how we use it, and to ask for it to be moved elsewhere. To exercise any of these rights, contact our Hon Secretary at secretary@tarfc.co.uk.

How to Complain

We hope we can resolve any concern you have about how we handle your personal data — please contact us first. You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or by calling 0303 123 1113.

Changes to This Policy

We may update this policy from time to time, for example as our website or the tools we use change. The date at the top of this page shows when it was last revised.
